Why this matters now

Microsoft Project has been the default tool for complex project management in Italian industrial and technical companies for over two decades. Its retirement is not just a licensing change — it forces a rethinking of how project data is structured, shared and used.

The risk for PMOs that delay is not losing the software. It is losing continuity: historical baselines, cost structures, resource allocations that live inside .mpp files and proprietary formats.

What the market is offering as alternatives

The alternatives that appear most frequently in searches and evaluations fall into three categories:

Category 1 — Task management tools (Monday, Asana, ClickUp)
These tools handle task lists, boards and simple timelines. They are well-designed, fast to adopt and cheap. The problem for a PMO: they have no real cost control, no committed cost tracking, no earned value management, no resource capacity view that connects to budget. They are excellent for marketing and operational teams. They are insufficient for project control in engineering, R&D or multi-supplier environments.

Category 2 — Heavy enterprise tools (Primavera P6, Procore)
These tools do what Microsoft Project did and more. The problem: they are priced for large enterprises, require months of implementation and carry a complexity that mid-market teams cannot sustain without a dedicated team. They are the right answer for major infrastructure projects. They are overkill for most Italian PMOs.

1. Does it handle budget baseline and forecast?
Not just a budget field — a proper structure: BAC (Budget at Completion), actual cost, committed cost, ETC and EAC. If the tool treats budget as a single number on the project card, it is a task manager, not a project control tool.

2. Does it track committed costs automatically?
When a purchase order is approved, the committed cost should update the project forecast automatically. Manual data entry between procurement and project control is where Italian PMOs lose visibility.

3. Does it have resource capacity management?
Not just assignment — capacity: who is overloaded, in which week, and which milestone is at risk because of it. This is the feature most task management tools call 'resource management' but do not actually implement.

4. Does it have a risk and decision register?
Risks and decisions are governance objects, not tasks. They have owners, deadlines, probability, impact and documented outcomes. A tool that puts risks on a Kanban board is not solving the governance problem.

5. Can it generate a status report without manual reconstruction?
If you still need to open PowerPoint after the tool updates, the tool has not solved the reporting problem. A project control platform should produce a report — or the evidence for one — from the data already in the system.

Migration checklist for Italian PMOs

Before September 2026, work through this list:
